Position Overview

We are seeking a highly organised and proactive Business Administrator to support our management team. This role is important for enhancing the efficiency of our operations and administrative functions, requiring excellent organisational skills and the ability to handle sensitive information with discretion. This position requires occasional attendance at meetings during non-standard hours due to our global team in Europe, North America, and Australia. The role is primarily within European business hours but requires adaptability to diverse schedules.

Key Responsibilities

Administrative Support

  • Manage calendars, schedule meetings, and coordinate travel arrangements for the management team.
  • Prepare, edit, and proofread correspondence, reports, and presentations.
  • Help organise company events, meetings, and conferences (venue booking, catering, equipment setup, and event staffing).
  • Chair meetings and gather meeting minutes.
  • Facilitate and document action items and follow-ups from meetings.

Project and Event Management

  • Assist in planning and executing special projects and initiatives.
  • Track project progress and manage timelines.
  • Conduct research and gather data for decision-making processes.
  • Coordinating and communication with other departments.

Account and Financial Management

  • Issue quotes, invoices, and checks based on existing support contracts.
  • Follow up on payments and manage accounts receivable.
  • Maintain accurate records of client interactions and transactions.
  • Monitor and manage budgets, expenses, and financial reports.
  • Process invoices, expense reports, and reimbursements.
  • Assist with financial planning and analysis.

Qualifications and Skills

  • Experience in a similar role, preferably in a tech environment.
  • Excellent organisational and time-management skills.
  • Ability to manage multiple tasks and prioritise.
  • Strong written and verbal communication abilities in English.
  • Proficiency in office productivity software.
  • Ability to handle sensitive information with discretion.
  • Strong problem-solving skills and attention to detail.
  • Ability to work independently and collaboratively.
  • Ability to maintain a structured and organised approach.
